Operations Manager- Houston, TX
Rapidly growing real estate management company seeking a Vice President of Operations to become an integral part of our team! The Vice President of Operations will coordinate and oversee Flat Fee Landlord and its sister companies, Hazel Equity and Hashem Realty’s daily operations.
As a senior member of the team, the VP of Operations will provide leadership, guidance, and oversight of our property management, sales, and construction teams. You will ensure financials, operating and compliance standards; as well as the resident and team member experiences, exceed the expectations of Flat Fee Landlord and its sister companies.
Responsibilities:
- Increase profitability and operating performance of both the organization and the properties we manage
- Work in conjunction with accounting and asset manager to prepare annual operating and capital budgets
- Create, manage, improve, and document operational systems and processes
- Review and approve invoices
- Monitor and drive property occupancy levels (for both single-family and multifamily assets)
- Hire, fire, train, mentor, and develop staff and team members for both on-site and off-site property management positions
- Create training programs for existing and new positions within the company and/or on-site at a property
- Ensure property employees develop effective resident relations at each community
- Ensure all team members and staff are providing best in class customer service and driving positive online reviews
- Review expenditures to ensure they are within budget and properly approved
- Lead weekly and ad-hoc company meetings with team members
- Identify KPI's and create a system to track said KPI's
- Create weekly, monthly, quarterly, and annual goals with team members
- Schedule and conduct quarterly, annual, and ad-hoc performance reviews with team members to track progress, provide constructive feedback, and maintain high team morale
- Ensure regulatory compliance and adherence to all legal requirements
- Track and forecast operational trends and analysis
- Formalize, improve, and create policies and procedures for both the organization and its communities/properties
- Develop best practices, systems, and processes to drive high resident, landlord, client, and staff retention
- Manage system to properly onboard new single and multifamily properties into our portfolio
- Oversee maintenance work orders, projects, and unit turns for the properties we manage to ensure speed and provide quality control of completed work
- Hold maintenance, vendors, and contractors accountable for the scope of work they are to provide for us
- Quickly handle and diffuse client and resident complaints to ensure they do not go beyond you
- Participate in the acquisition, due diligence, capital improvement, and underwriting processes
- Conduct property site inspections of managed properties to ensure the quality and execution of our standards
- Conduct property tours of comparable communities and of properties being considered for acquisition to provide feedback in the underwriting process
- Find, vet, and manage, and provide daily operational oversight on outside contractors and repair vendors
Qualifications and Requirements:
- Minimum of 5 years in an operational or supervisory role within multifamily property management
- The ideal candidate will have at minimum held the title of Regional Director/Supervisor with a large multifamily property management firm
- Minimum four-year degree from an accredited college or university required
- NAA Designations preferred (CAPS, CAM, etc.)
- Strong customer service skills
- Strong knowledge of local, state, and federal real estate laws and regulations
- Strong interpersonal and business communication skills
- High level of organization and attention to detail
- Experience with creating and documenting operational systems and processes to ensure maximum efficiency and profitability within the organization
- Strong project management skills
- Strong problem solving and critical thinking skills
- Strong leadership qualities
- Must be willing to travel to different states and markets as needed for acquisitions and to check on operations of existing portfolio

The Associate Sales Representative position at Flat Fee Landlord is not your typical real estate sales role. As an Associate Sales Representative with Flat Fee Landlord, you work within a territory as a full-time employee and are compensated on a base salary plus commission structure with a visible career path. Your primary functions are to sell our property management services and convert warm leads into properties that will either be managed or sold. You will also follow our proven system to market listings and conduct showings of properties for lease and sale to prospective residents or buyers. Since client acquisition and retention are the main responsibilities of this role, Flat Fee Landlord sets you up to win from day one with an abundance of warm leads, a motivating compensation package, and the tools you need to succeed. We want you to fully focus on what matters most--making our clients happy while selling our services.
Requirements:
- (Entry Level) 0-2 years experience in a sales related industry. Experience in a commissioned based role is preferred.
- Must have or be able to obtain a Real Estate License.
- Must possess strong oral and written communication skills.
- Must have the ability to thrive under pressure and meet stringent sales goals.
- Must have the ability to work a flexible schedule, including evenings and weekends as the majority of showings take place during non-business hours.
- Must demonstrate the ability to respond to and diffuse customer concerns.

Client Services Administrator
Client Services Administrator - Customer Service and Support
Principal Duties:
- Effectively communicate with residents, homeowners and staff.
- Monitoring and scheduling of maintenance work, service requests, inspections, and preventative maintenance with staff and 3rd party vendors.
- Assigning work to vendors or maintenance staff and ensuring that all work has been completed in a safe, prompt and professional manner.
- Monitoring of vendor contracts, tax information, licensing and insurance certificates.
- Proper bill creation in company system and documentation of jobs completed by vendors including payments on invoices in company PO log.
- Proactively establish and maintain effective working team relationships with all support departments and personnel.
- Adheres to all company policies, procedures and business code of ethics.
- Receive and make telephone calls, in-person visits, and portal communication. Listen to and resolve resident and homeowner requests, concerns, and comments.
- Quickly coordinate/follow-up on maintenance service requests. Answer questions for residents and homeowners about repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters.
- Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed service requests on a weekly basis.
- Maintain open communication with Team Lead.
- Enforce policies of the company and lease.
- Create and administer lease renewals.
- Performs other related duties as assigned.
